Licensing Administrator

Job Description

​

Licensing Administrator will handle multiple ongoing deadline-oriented tasks for busy and growing licensing and compliance firm. Some tasks include, but are not limited to: Client focused / directed projects as requested, setting up state regulatory filings based on 48 different state’s rules and requirements, ensuring client’s filings are complete and submitted to multiple state regulatory agencies on or before strict deadlines set by various state regulatory agencies, tracking client’s filings to ensure receipt and approval by multiple state regulatory agencies, monitor client state-mandated filing fee accounts, high level client communication and follow-up, corresponding with various state agency regulators representing Patton Compliance on a professional level, scanning and managing electronic documents, drafting cover letters, issuing fee checks. In addition, compiling PDF documents of each individual client’s state filings and ensuring copies are organized and maintained on secure server, uploading to secure server ensuring organization in each client’s folders. Keep client records confidential, redact any confidential information from each filing on an as needed basis. Occasional research on insurance licensing and compliance issues and state insurance statutes on an as needed basis, and other strict deadline-oriented tasks. Performs various other duties as needed from time to time.

Qualifications

​

College degree preferred with an emphasis in business, legal or paralegal studies, accounting, or another similar field. Must be proficient in Excel, use of and manipulation of PDF documents (Adobe or other PDF software), Word and e-mail programs. Must have high-speed internet access as much of this work will be conducted via e-mail and electronic transmission. Insurance or regulatory licensing background preferred but not mandatory if other qualifications.  Must be detail oriented, a self-starter, have a strong moral compass, ability to work independently, autonomously, and as part of a team.  Great opportunity for growth and advancement for the right person.  Salary commensurate with qualifications and / or experience.

Assistant Licensing Administrator

Patton Compliance is willing to consider part-time employment or 1099 contractor for this position for the right person. This position is not required to start as a full-time position. Patton is a virtual, remote, work environment.

Job Description

​

The position of Assistant Licensing Administrator is not limited to but will consist of some of the following. This position is poised for growth, additional duties and tasks may be assigned on an as-needed basis:

Assist Sr. Licensing Administrators and Licensing Administrators with compiling and sending sensitive client license renewal filing packets to various state regulatory agencies on a timely basis.  Highly deadline and detail oriented. Must be organized; monitor client fee accounts to ensure each client keeps an appropriate balance to cover required state filings; compose cover letters on a timely basis to accompany client renewals, filings, and reports; compose and send regulatory notification letters on an as-needed basis; time sensitive as regulatory agencies require notification to be submitted within a certain timeframe; review and monitor tracking system to ensure timely submission of required renewals, filings and reports; enter new and renewal licenses into licensing database. Pull reports for staff as needed; follow up with clients as necessary and as directed by Licensing Administrators; ensure timely entry of detailed tasks and duties performed for each client; regularly review state insurance department contact listing for accuracy, and update as needed; assist President, management and other staff with various other duties as needed.

Qualifications

​

Ideal candidate will appreciate and enjoy complexities involved with business, paralegal studies or another similar field. Will be a “self-starter”, have a happy and positive attitude, a good moral compass, ability to work autonomously, critical thinker, naturally curious, motivated, highly organized, detail oriented, team player. Should be proficient with Internet research, Word, Excel, Adobe Acrobat Pro (for manipulating PDFs), email including webmail, and internet-based applications generally. College degree, or in pursuit of a college degree, with an emphasis in business, paralegal studies or another similar field preferred by not necessarily required.

This is an entry-level position with great potential for advancement. Patton is willing to consider part-time employment or 1099 contractor for this position.
